LimakConnect Privacy Policy
This policy explains how LimakConnect collects, uses, shares, stores, and retains personal information.
1. Introduction
This Privacy Policy describes how Limak Solutions Pty Ltd handles personal information collected through LimakConnect.
LimakConnect is used by accounting firms, client portal users, and personal workspace users to manage records, communications, workflows, and shared tax history. LimakConnect is available as a web application and a mobile application for Android and iOS devices.
2. What we collect
We may collect names, email addresses, mobile numbers, organisation details, billing details, client contact details, uploaded documents, tax return records, extracted tax values, analytics data, signature records, communication records, and technical usage information.
When you use the LimakConnect mobile application, we may also collect your device platform (iOS or Android) and a push notification token issued by your device's operating system. This token is used solely to deliver push notifications to your device and is not used for advertising or tracking purposes.
Biometric authentication (Face ID or Touch ID) may be available on supported devices as an optional convenience feature. All biometric processing is performed entirely by your device's operating system. LimakConnect does not access, transmit, or store any biometric data.
3. How we collect information
We collect information directly from users when they register, activate a portal, upload files, connect an accountant, submit forms, or use platform features.
We may also collect information through firms using the platform on behalf of their clients and through integrated service providers such as payment, email, or infrastructure providers.
On the mobile application, push notification tokens are collected when you grant notification permissions on your device.
4. Why we collect information
We collect information to provide and secure the platform, manage accounts, store uploaded files, support client-firm collaboration, process billing, enable e-signatures, send communications, and improve product operations.
5. Client-owned workspace model
Where a personal workspace is used, the workspace is intended to remain client-owned. The workspace owner may grant and revoke firm access through LimakConnect.
If a firm is detached, the client-owned workspace and its tax history remain with the workspace owner.
6. Uploaded tax files and extracted values
Tax return files may be used to store records, extract structured fields, generate comparisons, and present workflow insights. Extraction and analytics are informational and may require user review and correction.
7. Disclosure of information
We may disclose information to authorised firm users, workspace-linked users, payment providers, hosting and infrastructure providers, messaging providers, signature providers, and regulators or authorities where required by law.
8. Storage and data location
All information collected and processed by LimakConnect is stored exclusively within Australia. LimakConnect is hosted on Amazon Web Services (AWS) infrastructure in the Sydney, Australia region (ap-southeast-2). No personal information is transferred to, stored in, or processed in any overseas jurisdiction.
LimakConnect uses third-party providers for ancillary services such as transactional email delivery and SMS notifications. These providers may operate infrastructure outside Australia for the purpose of message delivery. Such services are used solely for transient communication purposes and no personal data is persistently stored outside Australia through their use.
9. Communications
LimakConnect may be used by firms to send emails and SMS messages to clients and contacts. Firms are responsible for ensuring they have the required consent where applicable.
10. Security
We use reasonable administrative, technical, and operational controls to protect information stored in LimakConnect. No system can guarantee absolute security.
11. Access and correction
You may request access to or correction of your personal information by contacting us. In some cases, operational or legal requirements may affect how information is updated or retained.
12. Retention and deletion
We retain information for as long as reasonably necessary to provide services, meet legal obligations, support auditability, and protect the platform. Some client-owned and tenant-owned records may follow different retention outcomes depending on ownership and deletion actions.
13. Data breaches
If a serious privacy or security incident occurs, we will respond in line with our legal and operational obligations, including notification requirements where applicable.
14. Mobile application
The LimakConnect mobile application is available on Android and iOS. The mobile app accesses the same services and data as the web application under the same terms of this policy.
Push notification tokens are stored securely and used only to deliver relevant notifications such as new document requests, signature requests, and portal messages. You may disable push notifications at any time through your device settings. Disabling notifications does not affect your ability to use the app.
No biometric data, precise location, advertising identifiers, or device contacts are collected by the mobile application.
